We start with one desk. We earn the rest.
Nobody hands an outside team their whole operation on day one, and you shouldn't. Here's the order we do this in, and what has to be true before we move up a step.
-
Step one
The after-hours desk
Your emergency line, 6pm to 8am plus weekends. We answer, calm the tenant, walk them through anything they can do themselves, triage true emergency versus morning job, create the work order in your PMS, and dispatch from your approved vendor list. You get one summary at 7am.
Live in 10 business days -
Step two
Full maintenance coordination
Once nights are stable, we take the daytime queue too: vendor scheduling, chasing quotes, tenant access coordination, follow-up until the work order actually closes, and the parts of Property Meld or your PMS that nobody has time to keep current.
After 60 days of clean night coverage -
Step three
Rent and delinquency follow-up
Payment reminders, first and second delinquency contact, payment plan documentation, and handing you a clean file the day something needs to go legal. We do the calling. Decisions on notices and filings stay with your licensed staff.
Requires your written collections policy -
Step four
Owner reporting and the owner inbox
Monthly owner packets assembled and checked, routine owner questions answered from your data, and the reporting your team keeps meaning to standardise. Anything about money, renewals or strategy is escalated, never answered.
Requires reporting templates signed off by you -
Step five
Leasing inquiry response
Speed-to-lead on new inquiries, showing coordination, application chasing. We hold this back deliberately: one careless sentence about assistance animals or source of income is a fair housing problem for you, not us. We only take this on with documented training, a scripted answer set you approve, and recorded QA.
Documented fair housing training + approved scripts required -
Step six
Automation build
By this point we've been running your workflows for months and we know where the time actually goes. So we automate it: triage rules, LeadSimple and Property Meld configuration, tenant and owner notification sequences, custom portals, and the integrations between the tools you already pay for. This is the part most staffing firms can't do at all.
Priced per build, not per seat
And our answers, before you ask.
Where is your team?
Lahore, Pakistan. Our working day covers your night, which is why nights are what we sell. We're not pretending to be down the road from you.
Why not the Philippines?
Fair question — that market is bigger and older. What they don't do is build the systems afterwards. We're an operations team that also automates the work it does.
Who is liable if you get it wrong?
Scripts define exactly what we can say. Anything outside them gets escalated to you, logged, unanswered. We'd rather wake you at 3am occasionally than guess.
Can we talk to a client?
Yes. Ask on the call and we'll arrange it. If we don't have a reference in your door-count range, we'll say that too.
